3. Count frequency, not just recency. The biggest trap in feedback analysis is reacting to whatever you saw last. Instead, track how many times each issue comes up. Three mentions of "confusing onboarding" over two weeks is more important than one angry email about a button color that arrived this morning.
4. Review weekly, not daily. Daily feedback review leads to whiplash. Weekly gives you enough volume to see real patterns without constant context-switching. Pick a day, block 30 minutes, and look at what came in.
5. Separate reading from deciding. The review session is for understanding what users said, not for deciding what to build. Write down the top 3-5 themes. Sleep on it. Bring it to your next planning meeting with data instead of gut feel.
This works at small scale. At 50 feedback items a week, you can do steps 2-5 in a spreadsheet. At 200+, you'll want AI handling the categorization and pattern detection for you.
What a useful weekly feedback analysis includes
A good weekly synthesis covers four things:
Top patterns are the 3-5 issues that came up most often. Not just what's new, but what's repeated. Frequency is signal.
Trends show you what's growing. If an issue went from 2 mentions to 9 in a week, that's an early warning before it becomes a fire.
You also want a few notable pieces of feedback worth reading in full. Not everything, just the ones with enough context to act on.
And finally, the numbers: how much feedback came in, breakdown by type, sentiment distribution. A quick pulse check.
